You can view and edit a variety of information about your contacts on the Contacts screen. Open the Contacts tab in the Keystone ribbon and click Contacts to open this screen.
The contact information in the lower half of the Contacts screen is organized as a series of tabs. These tabs are described in other sections. For information about a tab, click on the tab's name below.
Use the fields in the Selection pane - located in the upper portion of the screen - to select a particular contact or group of contacts from your database. If the Make Selection By setting on the left is set to Contact or Organization, you may choose the specific contact by selecting an individual from the Person(s) drop-down list, or by selecting an organization from the Organization drop-down list.
Primary Contacts for an organization are shown with a P after their name in the drop-down list. Other contact records for that same organization are shown with an O (Other) after their name.
Organizations (businesses, churches, etc.) for which a contact name is included, or individuals for whom an organization was specified, may be located either by name or by organization. When two individuals with different last names are listed in a contact record, they appear twice, once under each last name.
Use the Suffix field for suffixes (e.g., Jr.) and not the Last Name field. If you don't use the Suffix field and the contact has two people in it, Keystone may see that record as having two different last names and will show them in Contact lists twice.
If Make Selection By is set to Categories, the Selection display changes and shows four fields: Category 1, Category 2, Person(s), and Organization. In this view, you first select a Category 1 and Category 2 in the top fields. You can then search for the person's name or organization in the corresponding fields below.
Only individuals or organizations matching the selected Category 1 and Category 2 appear in the Person(s) or Organization fields as choices. The navigation bar at the bottom of the Contacts screen also changes to reflect the number of contacts available among those matching the category selection.
Once you select a contact on the Contacts screen, most information related to general contacts may be edited in the tabs in the main portion of the form.
Use the button on the Contacts screen to show only those contact records that meet the criteria you specify. The filter criteria you can set are Incomplete Addresses, Last Modified Date is Before a specified value, and various Search For criteria. The Search For criteria you can search by include First Name, Organization Name, Address, City, Postal Code, and Notes. See the Filters section for an explanation of how to set Search For filtering criteria.
Note that when you select a filter, the button changes color, and the number of records that match the criteria you entered is shown in the lower left-hand corner. The filter you applied is also shown to the right of the button. When you are done with the filter, click the button again and it will change back to its original color and the full record set.
If pictures or documents are stored for the current record, you will see a button and/or a button. If they are not, you will see and buttons, respectively.
Click the button to view the picture window and the available pictures for the current record. Click the button to view the Document List window, which allows you to access all documents stored for the current record.
If the current record does not have a documents folder, Keystone will offer to create one if you click the or buttons.
For additional information, see the Managing Documents and Pictures in Keystone or the About Document and Picture Files and Folders sections.
If the selected contact(s) has an e-mail address, the E-mail button is enabled. Click the E-mail button
to create an e-mail distribution list and open Outlook to send e-mail to that list. For more information, see the E-Mail Button section.
If you want to generate a letter for the selected contact(s) using Microsoft Word, click the
(Word) button to send data directly to a Word template related to this screen. For more information, see the Using an Automated Template section. For more information about creating merge letters, see the Creating or Editing a Template with Microsoft Word section.
Use the and buttons in the upper-right corner of the Contacts screen to open screens where contacts may be added or deleted. You can also use these buttons to manage the categories to which contacts are assigned.
Clicking the button (lower-right) opens the Contact Record Properties window. This provides you with information such as when the currently-selected contact was added to the database, when they were designated as a volunteer or a donor, when their contact record was last modified, and so forth. If you are using User-Level Security, the initials of the user who made a particular change to the contact's record are listed as well. This also helps you discover issues like whether a contact record is stagnant (e.g., no changes have been made to the record in a couple of years).
Clicking the symbol (lower-right) allows you to set the position of the Contacts screen within the main Keystone window. After you do this, Keystone will remember this position and display the Contacts screen in that same position each time you open it. You can set a new position for the screen by clicking the symbol again. For more information, see the Custom Screen Positioning section.
Click the button to close the Contacts screen.
