Address Tab

Enter mailing address information for the contact on the Address tab on the Contacts screen.

The Active checkbox designates which address record to use for all mailings, labels and reports where this contact appears. Keystone only allows one address to be marked active and one address to be marked as the default address.

Enter the street, box, suite/apartment number, and other relevant address information in the Address field. Do not use periods when abbreviating parts of the address. For example, use St rather that St. when abbreviating Street.

For non-U.S. affiliates, format the addresses for mailings within your own country according to your country’s standards rules.

The City and State fields fill in automatically with the defaults specified on the Contacts tab of Affiliate Setup. You may overwrite these with a different city and state as needed.

To enter a postal code (the ZIP Code in the U.S.), enter it in the Postal field. You may enter 5-digit ZIP Codes, ZIP+4, or an 11-digit Delivery Point Code to conform to the standard U.S. formats; or enter postal codes for other countries using the formatting appropriate to the country. If you are in Canada or Australia, Keystone also formats the postal code automatically. For more information about setting your affiliate's country, refer to the Affiliate Tab section of Affiliate Setup.

You can also enter a country in the Country field, but it is not required for domestic U.S. mailings.

After you enter a complete address, you can click the Check Address button just above it. This checks the address you entered with the US Postal Service server to verify that it is a mailable address. If it is, Keystone will use the information from the USPS server to standardize the address. You can also check all of the addresses in your Keystone database in batch. Please review the Standardizing Addresses section for more information.

Keystone can only check mailing addresses within the United States.

Use the Active Date Range with contacts who have a different seasonal addresses. The Active Date Range fields may be left blank if this does not apply. Set which address is active using the Active check box, then enter the dates for which the address should be considered active. Note that the Active date fields must have the format of MM/DD.

You cannot enter dates for two or more addresses that overlap. For example, you cannot enter one address as active from 01/01 to 07/15 and another as active from 06/01 to 10/15.

Keystone automatically looks at each contact’s active date ranges at startup and switches addresses between active and inactive based on the current date and the active dates. If there is a gap in a contact’s date ranges such that no address is designated as active for the current date, the address marked as Default will become active.

If you have a contact who lives in two different places during the year, you do not have to create two different Active Date Ranges in order for Keystone to automatically select the appropriate seasonal address. Instead, simply mark the primary address the person lives at more as the Default, and then create an Active Date Range for the other address. When the Active Date Range for the secondary address is no longer active and Keystone finds no other address with an Active Date Range for the contact, Keystone will make the Default primary address active again.

You may enter notes about each of the addresses in the Notes field next to the Active Date Range fields.

When you enter an address into Keystone, there is a brief period of time before it appears in any drop-down lists that contain addresses. If you just entered an address and you don’t see it in a drop-down list, wait a few seconds on the start screen. The address information will update shortly.
