The e-mail button allows you to use a contact or family partner’s e-mail address in Keystone to send an e-mail message using Outlook, or to send an e-mail message to all the contacts in a selected contact category or an organization's affiliation members list. On most screens the e-mail button appears as an icon (
), but on the Family Partners screen it's labeled with the word .
When you select a contact or family partner with an e-mail address, the e-mail button at the top of the screen is enabled. For contacts, this button appears on the Contact, Covenant Partner, Donor, Volunteer, and Property Acquisition screens. For a family partner, the e-mail button appears on the Family Partner screen. When you click the e-mail button, the Select E-mail Addresses screen appears and all the e-mail addresses for that contact or family partner are shown.
If the contact does not have an e-mail address, the icon on the e-mail button is grayed out. If a family partner does not have an e-mail address, the button instead says .
If Make Selection By is set to Category on the Contacts screen, and anyone in the category you select has an e-mail address, the e-mail button is enabled. Clicking the e-mail button then will open the Select E-mail Addresses screen with all the e-mail addresses of the people in the selected category; and you can select all the people that will be on the distribution list.
The Select E-mail Addresses screen allows you to pick which e-mail addresses you will use in creating your e-mail. If you want only a few out of a long list, you can click and check the Include box for only those few. If there are only a few that you do not want, you can uncheck the Include field for just those few.
When this screen opens and there is more than one e-mail address, the BCC field is set. If there is only one e-mail address, it is not. When BCC is checked, the e-mail distribution list will be a blind copy distribution list. When BCC is unchecked, a standard To distribution list is used. You can change the automatic setting on the BCC field if you so desire.
Many e-mail providers will reject messages that have over a certain number of addresses in the To line of an e-mail message. This number varies from provider to provider. Typically you can have as many addresses as you want in the BCC field of a message without being rejected by an e-mail provider.
Click the button when you have finished selecting the e-mail addresses you want. You will see a security warning. Simply click and Outlook will open with your selected distribution list.
