Using Keystone Data with Microsoft Word Templates

Keystone templates use the merge features of Microsoft Word to create documents, letters, labels, envelopes, and more.

You can modify Keystone’s existing templates or create your own by following these steps:

  1. Read more about the different types of templates.
If you are relatively new to templates in Keystone, you may wish to read more about them before proceeding. You can get a good overview in the Introduction to Automated Templates or Introduction to Merge Templates sections.
  2. Prepare the Exported Data file and get your template file ready.
No matter what template you wish to create, you will have to prepare the Exported Data file first before you can create your new template. If you are creating a new template that is based on an existing one, you will need to make a copy of the existing template and prepare it for use. You can also create a completely new template from scratch. For more information, see Preparing Export Data and Merge Templates.
  3. If you are creating a new template based on a Labels and Export Data report, you may find it helpful to see what fields those reports actually export before you work on your new template. You can view this information in the Label and Export Data Information book under Generating Output > Templates > Creating Templates in the Help's Table of Contents.

Once you have selected your data source in Step 3 of the Mail Merge Wizard in Word, you can also see what fields are available to you by clicking the Insert Merge Field button in the Write and Insert Fields group of the Mailings tab.

  4. Create your template.
For more information on how to create your new template using Microsoft Word, see the Creating or Editing a Template with Microsoft Word section.
  5. If you are creating an automated template, then you must register your new template in Keystone in order for Keystone to know what it is and where it is.
For more information, see the Registering an Automated Template section.
