Introduction to Merge Templates

Keystone can print labels, letters, receipts, statements, and other items from a library of templates that are either provided by Keystone or created by you. You can also export data and use Microsoft Word or Excel to create a merge document yourself.

To help you create this wide variety of documents, Keystone provides two types of templates: 1) Labels and Export Data templates, and 2) Automated templates. Numerous pre-defined templates are automatically loaded onto your computer when you install Keystone. These documents are provided as blueprints for you to use, so all you have to do is customize these templates to meet your affiliate’s needs. You should review and customize the text of these templates as needed before you start using them.

Instead of spending your time creating Word documents, figuring out what fields you need to export from Keystone, adding merge fields to those Word documents, and then testing all of this to make sure it worked, Keystone’s templates do all of this work for you. All you have to do is modify them to say what you want them to say and start printing. If you need several variations of one of these templates, just make however many copies of it you need and edit each one to suit your needs.

Under most of the main categories of reports (e.g., Contacts, Development, etc.) is a group named Labels and Export Data. Any report in a Labels and Export Data group allows you to either 1) print Avery 5160 labels within Keystone, or 2) export data that you can use for merge letters, envelopes, labels, analysis, and so forth. In most cases, more fields are exported than actually are used to print labels within Keystone, which gives you more options for merge letters and analysis. For more information, see the Using Labels and Export Data Reports section.

Automated templates are used by Keystone to automatically produce output as a single merge document or together with other similar documents. For more information, see the Using an Automated Template section.

There are many types of documents you can generate with Keystone:
