Affiliate Setup Screen
Use Affiliate Setup to customize Keystone to the specific needs of your affiliate. This section describes the Affiliate Setup screen tab-by-tab. Generally, when first starting out with Keystone, you will not use all of the features Keystone offers right away. You only need to set up those functions that you intend to use at the outset. You can configure others when you are ready to use them, or not at all if they are functions you do not plan to use.
To open Affiliate Setup, open the Tools tab in the Keystone ribbon and click Affiliate Setup.
Access to all Affiliate Setup tabs requires administrator-level privileges. Initially, this means you have to log in to Keystone as the Keystone Administrator in order to view Affiliate Setup. The Administrator account initially has the password Administrator, though it may, and should be, changed.
The Administrator can give other users specific access privileges to Keystone functions and tabs in Affiliate Setup. See your Keystone Administrator if you need to change your access privileges.
The following is a brief overview of the tabs available on the Affiliate Setup screen.
- Affiliate Info tab - Every affiliate should customize information about their affiliate on the Affiliate Info tab. Note: Only the Keystone Administrator can access this tab. For more information, see the Affiliate Info Tab section.
- Security tab - To manage the usernames, passwords, and levels of security and access within Keystone, use the Security tab. Here you can add new users, modify the information and privileges of existing users, and make a user inactive. This controls what areas in Keystone a user can access, and allows some control over what users can and can’t do with data in each functional area. Note: Only the Keystone Administrator can access this tab.
Since users’ initials are used for log entries, independent of whether you use Open Security or User-level Security, you should enter usernames and initials for all users. For more information, see the Security Tab section.
- Mortgages tab - To set up and manage certain aspects of the mortgage tracking process, use the Mortgages tab. On this tab, you can set up default settings for the mortgage term, grace period, and late fees. You can set up the type of payment confirmation you want before Keystone stores your entries for Closing Fee and Mortgage Payments. You can also use this tab to set up delinquency letters. For more information, see the Mortgages Tab section.
- Escrow tab - To set up default values for escrow categories and escrow payees, use the Escrowtab. For more information, see the Escrow Tab section.
- Contacts tab - If you plan to use Keystone to manage your contacts (Donors, Volunteers, and Covenant Partners), you should review the Contacts tab to ensure that all categories you wish to use are defined.
You should also complete the Address Defaults fields on the Contacts tab, which will speed data entry for contacts. Keystone uses this information to enter the default city and state on new contact records. You can overwrite this default when entering individual contact records, if required.
On the Contacts tab you can also set the default organization salutation (used when no people are identified as part of the Contact record) for letters generated by Keystone; the default area code for new contact records; and contact titles you want to use (such as Mrs. or Dr.).
For more information, see the Contacts Tab section.
- Family Partners tab - To define family partnership levels for tracking family partners as they move through the selection process, use the Family Partners tab.
You can also set the default closing fee and number of months the family partner is required to make closing fee payments on this tab. You can define the default family partner ethnicity and, if you plan on providing delinquency letters and escrow notifications in different languages to your homeowners, the languages you want to use on this tab as well.
For more information, see the Family Partners tab section.
- Development tab - The Development tab allows you to define Fundraising Types; the event (the construction start date or end date) used to trigger Club Pledge notifications; and demographic attributes for family partners, properties, and houses, which can be used for soliciting grants. For more information, see the Development Tab section.
- Payment Methods tab - Use this tab to define payment methods that are used for Closing Fees, Mortgage Payments, and Donations. For more information, see the Payment Methods tab section.
- Volunteer Interests/Skills tab - A number of predefined volunteer skills, interests, and other related attributes are included with Keystone. Review the Volunteer Interests/Skills tab to make sure that these predefined values meet your affiliate’s needs. You may modify the values on this tab as needed. For more information, see the Volunteer Interests/Skills Tab section.
- Hours tab - If you plan to use Keystone to schedule or record volunteer and sweat equity hours, you should define the settings on the Hours/Sweat Equity Activities tab. This tab allows you to define your affiliate’s default sweat equity goal; the activities family partners and volunteers can give hours to; the default scheduling status for new hours records; and whether you want to post sweat equity by detail or just as a lump sum. For more information, see the Hours/Sweat Equity Tab section.
- Documents/Templates tab - To manage your template files or to change the location of your Keystone Documents folder, use the Documents/Templates tab. With this tab, you can tell Keystone where to find templates for a variety of letters, documents, and labels. For more information, see the Documents/Templates Tab section.
- QuickBooks tab - If you plan to use Keystone to post data directly into QuickBooks Pro, use the QuickBooks tab to define where the QuickBooks Company File is located, which QuickBooks accounts you will be using, and to set up the link between Keystone and QuickBooks. For more information, see the QuickBooks Tab section.
- Property tab - To use Keystone as an aid in the property acquisition process, you should verify the settings on the Property tab. This function is not required to enter basic homeowner addresses. It is used to track properties that your affiliate is interested in acquiring; properties owned by your affiliate that you must pay taxes on; and properties where the directions to those properties are going to be used for volunteer or dedication invitations. For more information, see the Property Tab section.
- Document Mgmt tab - While you can create document folders one-at-a-time for pictures and other documents for Contacts, Family Partners, and HFH Houses, on their corresponding screens, this tab allows you to create many of these folders at the same time. Note: Only the Keystone Administrator can access this tab. For more information, see the Document Management tab section.
When you are done setting up information in Affiliate Setup, click the Close button to exit the Affiliate Setup screen.
