Use the Family Partners tab on the Affiliate Setup screen to define various defaults for use with Family Partner records.
You can use Family Partnership Level Definitions in Keystone to track applicants' attainment of milestones as they move through the process toward homeownership. You can then use this information to plan how many family partners are needed at each level to meet your affiliate’s building plan.
Keystone defines six levels of family partnership to help you track families through these milestones. The milestones or requirements for Levels I, II, III, and IV should be defined by your affiliate. Once your affiliate decides on how you want to define these levels you can modify them on this tab.
You can also edit the wording for Levels V and VI, but the meaning of the level should remain unchanged. As a result, Level V must mean that the family partner is occupying a Habitat home, and Level VI that they have a mortgage obligation to your affiliate. Keystone assumes these meanings on particular screens and reports.
The level identified as Xud ('undefined') cannot be modified. This level is used to identify family partners who are no longer in the program. The default Family Partnership Level is Level I for newly created family partners.
Keystone supports Family Partner templates in multiple languages. For example, you can set up both English and Spanish templates and then set each family's language preference in their family partner record. Then the next time you send out a letter to the family, Keystone will use the template the corresponds to that language preference.
Each language has its own template number range. The numbers for English templates - the default - always run from 0 to 99. Spanish, for example, could use from 100 to 199. If there's a third language, use 200 to 299, and so on for other languages. The number "1" letter should mean the same thing in each language, except template number 1 is in English and, continuing our example, 101 would be the Spanish equivalent letter. For example, if you have four delinquency letters in English, you should have the same number in each of the other languages you use.
Create the entire set of letters for each language before trying to use this feature. For each English letter you have, you should have a matching letter in each additional language. Assign each letter a number within its range that corresponds with its English equivalent.
So some of the delinquency letters definitions on the Mortgages tab in Affiliate Setup could look like this:
Ltr #1 - Late Notice Sent
Ltr #2 - 1st Default Notice Sent
Ltr #3 - 2nd Default Notice Sent
Ltr #101 - Spanish Late Notice Sent
Ltr #102 - Spanish 1st Default Notice Sent
Ltr #103 - Spanish 2nd Default Notice Sent
And some of the escrow adjustment letters on the Documents/Templates tab in Affiliate Setup could look like this:
Ltr #1 - E - within limit
Ltr #2 - E - outside limit
Ltr #3 - E+, P- and Bal. <= $50
etc.
Ltr #101 - Spanish E - within limit
Ltr #102 - Spanish E - outside limit
Ltr #103 - Spanish E+, P- and Bal. <= $50
etc.
Initially, these new language templates can still be in English if you aren't ready yet to translate the actual letter templates. You can then go ahead and assign the appropriate language to the family partner for use in the future after the translations are complete. However, don't assign a new language to a family partner until you've at least defined the full set of templates here in Affiliate Setup.
To add a language to the Language pane
When you're ready to add templates in the new language, you can set up delinquency letters on the Mortgages tab in Affiliate Setup and escrow adjustment letters on the Documents/Templates tab in Affiliate Setup.
Keystone allows you to set a default ethnicity for new family partner records. Choose that ethnicity from the Family Partner Default Ethnicity drop-down list. The value selected here appears by default when you create a family partner record. You can change the ethnicity in new records as needed.
Use the Closing Fee pane to define information about closing fees prior to the start of a homeowner's mortgage. These values will become the default for each new family partner record created in Keystone. However, you can edit them for individual family partners as needed.
