Sending E-mail to Family Partners
The E-mail button on the Family Partners screen allows you to send an e-mail to an individual family partner or a group of family partners.
This button is labeled No E-mail when neither partner in the current record has an e-mail address. It's labeled E-mail when at least one partner in the current record has an e-mail address.
To send an e-mail message to family partners
- Select a family partner you wish to send an e-mail to on the Family Partners screen.
- Click the E-mail button.
If the family partner does not have an e-mail address in their record, you'll only see the No E-mail button, and you'll be unable to send them an e-mail message. Clicking the No E-Mail button in this case opens a list of e-mail addresses for all of your family partners - similar to what happens in step 4 below. However, if you know the partner's e-mail address, you can enter it in the E-mail field for that family partner and then use the E-mail button as described.
After you click the E-mail button, the Select Group window opens.
- Choose Family Partner if you want to send an e-mail just to the family partner(s) in the record you're currently viewing. Choose Group if you want to send e-mail to multiple family partners at the same time.
- Click the Select E-Mails button.
The Select E-mail Addresses window appears. If you selected Family Partner in step 3, you will see the e-mail address (or addresses if both partners in the record have a different address) of the family partner you're currently viewing. If you selected Group in step 3, you will see a list of all family partners, excluding those with a level of XUD (Undefined), which are normally not shown in Keystone.
If Partner 1 in a particular record has an e-mail address but Partner 2 does not, you'll see their combined names in the Name(s) field next to their e-mail address in the list.
If you've applied a filter to the Family Partners screen, only the e-mail address of the family partners in the filtered set are listed in the Select E-mail Addresses window. For example, if the records are filtered to only show those family partners with an Attribute of Elderly that are in Level VI, only these e-mails will be shown. For more information, see the Family Partners Filter section.
- Check the box next to each family partner you want to include in the e-mail; uncheck any you wish to exclude from the distribution list.
By default, all of the e-mail addresses listed are checked. If you wish to exclude anyone from the e-mail, you can uncheck the boxes next to their name individually.
If you have a long list of addresses and you wish to send the message only to a few of them, click the Clear All button to uncheck all of the addresses, and then check those few. If you wish to return all of the boxes to checked, click the Set All button.
- If you want all of the addresses to be placed in the e-mail message's Bcc (blind carbon copy) field, make sure the Use Bcc box is checked.
Unless you are just sending the message to one family partner, it is highly recommended that you leave this checked. Putting the addresses in the Bcc field prevents all of the recipients from knowing who else you sent the message to.
- When you've selected the recipients and are ready to create your message, click the Get E-mail button.
This opens Microsoft Outlook and creates a new message addressed to the recipients you selected.
-
After you have sent your e-mail, you will be returned to this screen, and what was the Get E-mail button will be changed to the Post button. When you click the Post button a screen opens where you can create an entry that will be posted to the logs of each of the recipients you just e-mailed.
