Donor Filter
You can use this filter on the Donors screen to search for donors that meet the criteria you specify. You access the Donors filter by clicking the Filter button on the Donors screen. When the filter is active, the word Filter on the button is displayed in red; when it is not, it is displayed in black.
You can search all of your donors using the following criteria. Click the radio button next to one of the options to select it.
- Donors With Unacknowledged Donations - Allows you to view only those donors who currently have unacknowledged donations. This is useful for reviewing which donors you currently need to send acknowledgement letters to.
- Donors With Club Pledges - Allows you to view donors enrolled in a Club Pledge. If you select this option, the Pledge Status pane appears at the bottom of the window. This allows you to select all donors who have ever had a Club Pledge regardless of whether it is still active (All Pledges) or limit it to just donors with active pledges or inactive Club Pledges (Active or Inactive, respectively).
- Donors With Periodic Pledges - Allows you to view donors with Periodic Pledges. If you select this option, the Pledge Status pane appears at the bottom of the window. This allows you to select all donors who have ever had a Periodic Pledge regardless of whether it is still active (All Pledges) or limit it to just donors with active pledges or inactive Periodic Pledges (Active or Inactive, respectively)
- Last Modified Field is Before - Allows you to specify a date and view only the donors who have not been modified since that date. This is useful for reviewing whether a donor should be dropped due to inactivity.
- By Development Parameters - You can use this option to search for donors that meet a variety of development criteria. When you select this option, the Development Parameters pane appears at the bottom of the window. This option is very useful for segmenting your donors and reviewing your donor database for ways in which you can get your donors more involved.
The parameters are comprised primarily of fields used in donor records in Keystone. These are:
- Qualification
- Attendance
- Involvement
- Cultivation Level
- Donor Class
- Projected Class
These fields are described in more detail in the Development tab section.
You can also filter based on how much a donor has given to date. Use the Total Donations to Date Greater or Equal to field for this purpose. For example, if you enter 250 in this field, you can view only donors who have given a total of $250 or more over their total donor history.
- By Category - Allows you to view donors who are also in the category you choose in the Category 1 and Category 2 fields that appear when you select By Category. For example, donors who are also in the Volunteer category or on the board of directors.
- Search For - Allows you to specify a text string and a field so you can view only those donors who have that text string in the field you select. When you select Search For, you will see a list of fields in the Within pane below it. This is where you select the field you want to search in.
For example, if you select Search For, enter Bob in the Search For field, and then select First Name from the list, this sets up a filter that will search for donors named Bob.
There are many ways in which you can search for text, including the use of wildcards and the Ctrl+F keyboard option. See the Filters section for more information.
When you have finished entering your filter criteria, click the Apply button. If you wish to leave this window without applying a filter, click the Cancel button.
After you click the Apply button, you return to the Donors screen. Notice that the Filter button is now a different color and that the number of records that match your criteria is displayed to the right of the navigation bar.
To turn the Donors filter off, click the Filter button again on the Donors screen. The Filter button will revert to its previous state and the original record set will be restored.
