When you are ready to post closing fees or mortgage payments, you can access both of these functions on the Finances tab in the Keystone ribbon. Posting donations is also available on the Development tab in the Keystone ribbon. If any of these options have not been set up or if a computer is not entitled to access QuickBooks, these options are disabled in the ribbon. See the Keystone/QuickBooks Direct Posting Setup section for more information.
When you select one of these options, you will see a screen where you can review the payments to be posted prior to posting. Only payments that have not already been posted to QuickBooks are displayed.
You would normally leave the Transaction Date set to its default value, which is the current date. However, when you receive a payment in one month that is not posted until the following month, it is advisable to set the Transaction Date for that payment to the last day of the month in which the payment occurs. This will make your reconciliation much easier.
For example: Suppose there are several payments that were made in May and several payments made in June that have not been posted.
You should also split your banking deposits in the same fashion, one that includes only the May payments, and one that includes only June payments.
When you click the button, the total of the included payments will be posted to the appropriate QuickBooks accounts; and you will get a message indicating the number of payments and their total value that have been posted to QuickBooks.
Keystone can post to QuickBooks regardless of whether QuickBooks is already open. However, it is faster if QuickBooks is already running.
