Keystone provides an audit trail for mortgage payments, escrow disbursements, donations, and closing fee payments. The audit trail is used to flag records that have been altered.
In order to use the Audit Trail function to track the identities of users who make changes, you must use User-Level Security. This will help discourage embezzlement and other improper activity in your database. For example, on Audit Trail reports, you will see a Who column showing the user (by initials) who modified a particular record.
The identity (the Who field) information will not be recorded if Keystone is set to Open Security mode.
The audit trail is active at all times and cannot be turned off. Also, users cannot modify the data captured by the audit trail.
When a record is modified, Audit Trail reports will show the current values of a record and the values of that record before it was modified. When a record is deleted, the values of that record before it was deleted will be shown.
To review audit trail information, use one of the four Audit Trail reports in Keystone. These reports are available through the Reports screen.
The first four fields on each of these reports are the same.
The remaining fields on each of these reports are fields specific to the function being reported.
Records on these reports are sorted by the date of modification or deletion, with the most current changes first.
