Delinquency Letter Data Screen
Use the Delinquency Letter Data screen to manage your communications with homeowners regarding their delinquent mortgages. To access the Delinquency Letter Data screen, open the Families tab in the Keystone ribbon and click Delinquency Mgmt.
Two important buttons are located at the top of the screen:
- Use the Update button to refresh the delinquency information displayed in the lower portion of the screen. This recalculates the delinquency status for all homeowners using all of their current payment information in Keystone.
The Last Updated field displays the date on which the delinquency data was last recalculated. By default, Keystone updates delinquency data on the last day of each month and after the expiration of your affiliate’s default payment grace period as defined on the Mortgages tab in Affiliate Setup.
You can update the delinquency data manually by clicking the Update button. You may want to do this each time before you generate delinquency letters just in case payments or changes have been made since the Last Updated date. When you click the Update button, the Last Updated date then becomes the current date.
- Click the Letters, Labels and Envelopes button to export delinquency data and generate delinquency letters in Microsoft Word.
The main part of the Delinquency Letter Data screen contains fields describing the current delinquency of all homeowners behind in payments as of the Last Updated date shown at the top of the screen. Only homeowners who were late with a scheduled payment as of the Last Updated date are shown.
You can select how you want to sort the homeowners in this list by choosing an option from the Order By pane. You can sort by the homeowner’s name (Name), the number assigned to their delinquency letter (Letter Number), or the total amount the homeowner is delinquent (Amount Due), in ascending order.
- Inc. (Include) check box - By default, this box is checked, which means Keystone will generate a delinquency notice for that homeowner and record a log entry when you send it. You should uncheck this box for any homeowner you don't want to send a letter to.
The Include pane (directly above this check box) contains Set All and Clear All buttons. If there are only a few homeowners to whom you don't want to send letter, click the Set All button and uncheck the Inc. check boxes for the letters you don't want to send. If you only want to send a few letters, click the Clear All button and then check the Inc. check boxes for the letters you want to send.
- Ltr # - a number designating which delinquency notice to send or log for that homeowner. By default, the letter number assigned to the homeowner is based on the number of months the homeowner is behind in principal plus escrow. The higher the number, the more severe the delinquency situation is. You can modify the definitions of the letter numbers on the Mortgages tab of Affiliate Setup.
Homeowners under special payment plans will show up on this list with a Ltr # of 99. This allows you to review their situation separately and set their letter number accordingly.
- Name - the name of the delinquent homeowner. Double-clicking this field takes you to the Homeowner Logs window where you can review past performance, communications, and related log entries. Clicking the Return button on that window brings you back to the Delinquency Letter Data screen.
- Mthly Pmt (Total) - shows the homeowner’s current total monthly payment (principal and escrow).
- Value (Past Due) - shows the homeowner’s total past due amount (principal and escrow) as of the Last Updated date. When posted, this value is posted to the homeowner’s log as PD=xxx, where PD is ‘Past Due’ and xxx is the amount.
- Mths (Past Due) - The total number of months the homeowner is delinquent. This is calculated by dividing the past due value by the total current monthly payment.
- Last Pmt. (Date) - shows the date of the homeowner’s last payment. When posted, this is recorded in the homeowner’s log as DLP = {date}, where DLP is ‘Date of Last Payment’.
Click the Close button when you are ready to exit the Delinquency Letter Data screen.
