Editing Area Codes and Postal Codes
There may come a time when the Area Codes or Postal Codes (ZIP codes, in the U.S.) in your area change for a large number of people in your community. As a result, you may need to change this information for a large set of Keystone contact records. The Area Codes and Postal Codes screens facilitate this process.
Back up your database before performing any of the steps below.
To edit area or postal codes
- Open the Contacts tab in the Keystone ribbon, then click Edit Area Codes to open the Area Codes screen, or click Edit Postal Codes to open the Postal Codes screen.
The remainder of the instructions are essentially the same for both screens.
- Enter the value you are looking for (Area Code or Postal Code) in the Find What field.
- Click the Find button to load all of the records that contain the Area Code or Postal Code you entered.
All records that match appear as a list. The Find function looks for the pattern of letters and numbers you entered and includes any record that has this pattern. Some of these records may have this pattern but not in the place you are looking for. You will need to exclude these records from the replacement later.
You may not wish to change all of the records. For example, when a city splits from one postal code into two or when part of a region is assigned a new area code, you only want to change the set of records that were assigned the new area or postal code. You can choose to include or exclude records from being changed.
- Check the Include check box for each record you want updated.
If you want to modify many records, you can click the Set All button to check all of the Include boxes and then manually uncheck any records you don’t want to include. The Clear All button clears all of the Include check boxes.
All of the records you check will be changed when you run the replacement process. Likewise, unchecked records will remain unchanged.
- Enter the replacement value (new Area Code or Postal Code) in the Replace With field.
- Click the Replace button to update all of the checked records with the new Area Code or Postal Code information.
The screen refreshes to display all records that were changed along with their new Area Codes or Postal Codes for your review.
